What Your Project Report Includes

SectionWhat it shows
Cost of projectEvery capital item and working capital, with the total
Means of financeOwn contribution, subsidy and bank term loan
Projected profit and lossFive years of sales, costs, depreciation, interest, tax and net profit
DSCRCash available to repay the loan against yearly interest and principal
Repayment scheduleYearly interest, principal and closing loan balance
Break-even analysisThe sales level at which the business covers all fixed costs

How the Project Report Maker Calculates the Numbers

  • Loan: interest only during the moratorium, then equal monthly instalments over the tenure.
  • Subsidy: when you enter a subsidy, it is held by the bank and no interest is charged on that amount, as under PMEGP.
  • Depreciation: written-down value at 10% for building, 15% for machinery and 10% for furniture; pre-operative costs are written off over five years.
  • Growth: sales grow at your chosen rate, while wages, rent and other costs grow 5% a year.
  • DSCR: (net profit + depreciation + interest) ÷ (interest + principal).
  • Break-even: fixed costs ÷ contribution margin, measured in Year 2.

Consequently, the report follows the same logic bank credit officers use when they appraise a term loan.

What Banks Look For in a Project Report

  • A realistic project cost backed by supplier quotations
  • A clear own contribution, so the bank is not funding everything
  • Sales estimates that match local demand and capacity
  • A healthy DSCR, ideally around 1.5 on average
  • A break-even point well below projected sales
Tip

If your DSCR is weak, try a longer tenure, a smaller loan, or more conservative costs before you change sales estimates.

Who Should Use This Project Report Maker

  • First-time entrepreneurs preparing a loan application for the first time
  • Existing business owners planning an expansion or a second unit
  • CA and DSA professionals who need a quick first draft for a client
  • BBA, MBA and commerce students working on a project report assignment

Tips for Realistic Inputs

  • Take machinery prices from at least two supplier quotations.
  • Base monthly sales on the capacity you can actually reach in Year 1, not full capacity.
  • Keep raw material cost close to what similar local units pay.
  • Include insurance, repairs and transport in other expenses so profit is not overstated.

Therefore, conservative inputs give you a report that holds up when the bank checks it.

Use It for PMEGP, Mudra and Bank Term Loans

For PMEGP, first check your subsidy with the PMEGP loan calculator, then enter that percentage here. For smaller Mudra loans, compare EMIs with the Mudra loan EMI calculator. Furthermore, our project report library shows sample reports for common businesses, and the business loan scheme guides explain eligibility for each scheme.

Limits of an Automated Project Report

Every business is different, so treat this report as a strong first draft. However, replace sample figures with local quotations, add your market research, and have a chartered accountant review the final version. Read our disclaimer for details.

Frequently Asked Questions

What is a project report maker?

It is a tool that turns your project costs, finance and sales estimates into a structured project report. This one builds the cost of project, means of finance, five-year profit and loss, DSCR, repayment schedule and break-even analysis.

Is this project report accepted by banks?

Banks accept project reports in their own format, but they look for the same numbers this tool produces. Use the report as a strong draft, add local quotations, and ask a chartered accountant to review it before you submit it.

Can I use it for a PMEGP or Mudra loan?

Yes. Choose the scheme, set your own contribution and enter the subsidy percentage for PMEGP. The report then shows the subsidy and works out interest on the net loan.

What DSCR do banks expect?

Many banks look for an average DSCR of about 1.5 and are cautious when it falls below about 1.25. The tool flags a weak DSCR so you can adjust the loan or costs.

Can I download the project report?

Yes. Use Print / Save as PDF to create a PDF, or Download for Excel to get a CSV file you can open and edit in Excel or Google Sheets.

Is my data saved?

No. The report is built in your browser, and we do not store the numbers you enter.
